JOB PURPOSE   The Commercial Assistant plays a pivotal role in supporting the commercial operations at Penta by assisting in various tasks related to sales, procurement, contracts, and overall business development. Their primary purpose is to facilitate the smooth functioning of commercial activities under the direction of the Group Head of Legal & Commercial.   KEY STAKEHOLDERS   External – Penta’s clients & suppliers. Internal – Sales team, Contracts team   DUTIES AND RESPONSIBILITIES   Support the Group Head of Legal & Commercial with all contractual and administrative  requirements.   Procurement Assistance
    • Support and own partner procurement activities by onboarding and regular review of approved partners.
    • Liaise with partner suppliers to ensure partner compliance and service delivery
  Contract Administration
    • Support with the preparation, review, and administration of contracts and agreements.
    • Maintain contract databases and ensure compliance with contractual terms.
    • Support in drafting contract amendments and renewals as necessary.
  Business Development Support
    • Involvement in key group forums to actively contribute and influence business strategy and risk mitigation
    • Participate in meetings and presentations with potential clients or partners.
  Administrative Support
    • Provide general administrative support such as scheduling meetings, preparing reports, and handling correspondence.
    • Maintain organised filing systems and document repositories.
    • CRM kept up to date with partner and client developments
    • Handle ad-hoc tasks and projects as assigned by the commercial management
  EXPERIENCE AND QUALIFICATIONS  
  • Experience of working in a contracts or commercial department (desirable, but not essential)
  • Proven experience in a similar role, preferably within legal, commercial or contracts department
  • Understanding of commercial processes, including sales, procurement and contract management (desirable)
  • Proficient in MS office suite and familiar with CRM software
  • Excellent communication and interpersonal skills
  • Excellent computer skills including Word / Excel / PowerPoint
  • Understanding of general contractual clauses and documents such as Non-Disclosure Agreements

JOB PURPOSE: The Compliance Manager is responsible for ensuring that Penta operates within legal and regulatory requirements and adheres to internal policies and procedures across all of our Penta entities. They oversee the development, implementation, and maintenance of compliance programs to mitigate risk and promote ethical behaviour. The Compliance Manager acts as a liaison between various departments, regulatory bodies, and external stakeholders to ensure compliance with relevant laws and standards. Responsibilities may include vendor relationship management, product evaluation, negotiation of contracts, quality assurance, and ensuring alignment with the organisation's goals and standards.   KEY STAKEHOLDERS Executive management team, legal, operations, auditors, external clients and contracts team   DUTIES AND RESPONSIBILITIES
  • To ensure that all Penta entities are set up correctly to ensure client compliance in respect of all resource contract paperwork across all Penta entities.
  • Develop and implement compliance policies, procedures, and controls to ensure adherence to applicable laws and regulations.
  • Conduct regular compliance audits and assessments to identify areas of non-compliance and develop corrective action plans.
  • Provide guidance and training to employees on compliance-related matters.
  • Monitor changes in laws and regulations affecting the organisation and update compliance programs accordingly.
  • Coordinate with internal departments to ensure compliance with industry standards and best practices.
  • Serve as the primary point of contact for regulatory agencies and external auditors during audits and investigations.
  • Investigate and resolve compliance issues, complaints, and violations in a timely and effective manner.
  • Prepare and submit regulatory reports and filings as required.
  • Collaborate with commercial and legal counsel to address legal and regulatory matters affecting the organisation.
  • Stay abreast of emerging compliance trends and developments to proactively address potential risks
  • Ensuring any special provisions are verified and compliant and raising any risks associated with various entities to the Group Head of Legal & Commercial
  • Liaise with external  consultants regarding any legal, regulatory compliance
  • Other duties / objectives as may be assigned from time to time by the Group Head of Legal & Commercial
    EXPERIENCE / QUALIFICATIONS:
  • Extensive experience of working in a compliance or commercial department on an international level
  • Excellent computer skills including Word / Excel / PowerPoint
  • Proven experience in compliance management, preferably in a regulated industry
  • Knowledge of relevant laws, regulations, and industry standards across EMEA (e.g. GDPR).
  • Analytical skills with the ability to interpret complex regulatory requirements and assess their impact.
  • Excellent communication and interpersonal skills with the ability to effectively communicate compliance requirements to employees at all levels, across different entities
  • Sound judgment and decision-making skills with the ability to prioritise tasks and manage multiple deadlines.
  • High level of integrity and ethical conduct, with a commitment to upholding ethical standards and promoting a culture of compliance within the organisation

JOB PURPOSE:   To provide operational support to our hosted clients and their resources, which will include; direct liaison with key stakeholders within our hosted clients and lead on onboarding & off boarding resources, engaging with global payroll partners, working with operation leads to ensure 1st class customer service and ensuring all data is captured on our CRM (Mercury) system.   KEY STAKEHOLDERS

  DUTIES AND RESPONSIBILITIES:
  • Client relationship and engagement – To include the following; Commercial pricing submission & approvals for new contracts, renewals and change requests, candidate issue resolution, etc
  • Overall management of all hosted resources ensuring all issues are resolved and where appliable liaise with the client to resolve issues, operation leads for resource support and or internally within Penta to drive swift resolution
  • Administration Processing on our CRM system - Extension's/ Amendments/ New Placements
  • Working with the commercial team for onboarding & working with our international compliance partners to support hosted resources where needed
  • Overseeing Time sheets, Invoice, Expenses are received checked and processed in line with our client agreements
  • Understanding and following the frame agreement guidelines we have committed to with the client
  • PO tracking support with the client and internal finance teams
  • When required track and or request updated documentation to support ISO certification
  • Ensuring all data is tracked on our company CRM (Mercury) system
  • Provide a suite of regular weekly & monthly tracking reports to your manager as directed
  • Any other duties as directed by your manager
EXPERIENCE / QUALIFICATIONS (Essential and preferable):  
  • Relevant business to business operational experience (essential)
  • Account Management experience (desirable)
  • Educated to A Level (essential)
  • Spanish language (desirable)
